Privacy policy
This Privacy Policy (the “Policy”) explains how “TOPOQRAF AZ” LLC collects, uses, shares, stores and protects users’ personal data on the topoqraf.az website, on the domains redirected to it and in the Topoqraf.az Android app (together, the “Platform”).
The Policy is based on the Law of the Republic of Azerbaijan “On Personal Data” No. 998-IIIQ of 11 May 2010, the Law “On Information, Informatization and Protection of Information” and other applicable legislation. It forms an integral part of the Terms of Use.
1. Data controller
“TOPOQRAF AZ” LLC (Tax ID 4701991871; address: 15 Fazail Bayramov St., Baku AZ1005, Azerbaijan; e-mail: office@topoqraf.az; phone: +994 77 584 14 89) — the “Company”. The Company owns the Platform and operates its personal data information system.
2. Definitions
- User — anyone who visits the Platform.
- Member — a registered User with a personal account.
- Personal data — any information that identifies a person directly or indirectly (name, e-mail, phone, IP address, etc.).
- Processing — collecting, recording, storing, changing, using, transferring, blocking and deleting personal data.
3. What we collect
3.1. Data you provide:
- at registration — your name or company name, e-mail address, password and, optionally, phone number and city. Passwords are stored only as an irreversible hash; our staff cannot see them;
- profile data — “About me” text and your choice whether to show your phone in ads;
- ads — title, description, price, technical specifications, city and photos. Photos are re-processed on upload and their embedded metadata (including the shooting location) is not kept;
- forum — topics, replies, uploaded files and “helpful” marks;
- Topo Pro projects — the points, areas, lines and project names you measure and the files you import (KML, KMZ, DXF, DWG, CSV);
- the name, phone, e-mail and message you enter in contact, order, quote and calculator forms.
3.2. Technical data collected automatically: IP address, browser and device type, sign-in and sign-out time, whether you signed in on the website or in the app, and failed sign-in attempts. This data is kept in the sign-in log to protect accounts and prevent abuse.
3.3. Location (GPS): Topo Pro uses your phone’s location only after you allow it and only while measuring. The location stays on your device; it reaches the Company only as part of a Topo Pro project you save (when a signed-in Member syncs projects). The desktop browser never asks for location.
3.4. What we do not collect: data on racial or ethnic origin, political or religious views, health, biometric or genetic data, or criminal records. The Platform does not take payments and collects no bank card data.
4. Why we use your data
- to create your account, recognise you and provide the Platform’s features (ads, forum, Topo Pro, favourites) — performance of the Terms of Use;
- to show your ads and forum posts to other users;
- to send service e-mails: e-mail confirmation, password reset, ad expiry, new replies in forum topics you follow;
- to answer your requests and orders and prepare offers for surveying services and SOUTH equipment;
- to keep accounts secure and prevent spam, fraud and unauthorised access — the Company’s legitimate interest;
- to improve the Platform based on anonymous statistics;
- to comply with the law.
The Company does not sell or rent personal data and does not pass it to others for marketing. Promotional e-mails may be sent only with your separate consent.
5. Who can see it and who we share it with
- Public data: your name, city, ads and forum posts are visible to all visitors. Your phone number is shown in ads only if you allow it. Your e-mail address is never shown.
- Service providers (on the Company’s instructions and only as needed): hosting and e-mail (Hostinger), usage statistics and ad measurement (Google Tag Manager / Google Analytics, Meta Pixel), video and maps (YouTube, Google Maps — only when you open them), and the Company’s internal Telegram channel for request notifications.
- Public authorities: only where and as required by law.
Service providers’ servers may be located outside Azerbaijan. Such transfers are made only through providers that protect the data and in line with the law.
6. Cookies and browser storage
- Essential: the session cookie (keeps you signed in) and the “Remember me” cookie — 30 days. The account cannot work without them.
- Preferences: theme (light / dark), language, Topo Pro projects and settings — stored in your browser on your device.
- Statistics and advertising: Google and Meta cookies that measure how the site is used in aggregate.
You can delete or block cookies in your browser settings; if essential cookies are blocked, you will not be able to sign in.
7. How long we keep data
- account data — until the account is deleted;
- ads — active for 30 days; an expired ad is hidden and deleted with its photos 30 days later;
- sign-in log — 180 days;
- IP addresses for security limits (failed attempts) — up to 24 hours;
- requests and orders — kept in the archive after being answered and deleted on your request;
- reports — until reviewed and closed.
When an account is deleted, the profile, ads, photos, files and Topo Pro projects are deleted. Forum posts that others have replied to may remain as “Deleted user”, without personal data, so the discussion stays intact.
8. Your rights
Under the law you may:
- find out what data about you is processed, where it comes from and why;
- access your data and get a copy;
- have inaccurate or outdated data corrected;
- have your data blocked or deleted;
- withdraw your consent at any time;
- apply to the competent public authority or a court if you believe your rights have been violated.
You can edit your profile in your account. To delete the account completely: Account → Delete account. For other requests, write to office@topoqraf.az — we reply within 30 days at the latest.
9. How we protect data
Connections to the Platform are encrypted (HTTPS); passwords are stored as hashes; failed attempts are limited automatically; sign-ins are logged; only authorised staff can access the admin panel; servers and the database are backed up regularly. Still, no transmission over the internet is completely secure — do not share your password and tell us immediately about any suspicious sign-in.
10. Age limit
Registration is for persons over 18. Persons under 18 may use the Platform only with the consent of a parent or legal guardian. If we find otherwise, the account may be blocked.
11. Changes to this Policy
The Company may update the Policy. A new version takes effect when it is published on this page; Members are notified in advance of significant changes by e-mail or a notice on the Platform. Continuing to use the Platform after the changes means you accept the new version.
